Two coffee carafes labeled Regular and Decaf beside a planning card in a shared office kitchen.

How to Add Decaf to Your Office Coffee Routine

A bag of decaf in the cupboard is a start. To make it a useful office option, people need to know where it is, how to brew it and which pot contains it. Whoever places the next order needs to know how much was used, too.

You can answer those questions with a short plan that works even when the usual coffee organizer is away. Start with one shared kitchen and build the routine around the people who use it.

Find out who wants a decaf option

Ask one simple question: “Would you use a decaf option here, and at which coffee break?” Let people answer without explaining their reasons. A quick anonymous tally can tell you whether you’re planning for an occasional cup, a recurring meeting or a regular part of the day.

Treat that tally as a starting point. During the first week, note decaf servings separately from regular coffee. Actual use will help you plan the next order.

Choose a coffee you want to serve

Look at the roast level, origin and flavor notes when choosing decaf, just as you would with any other coffee.

Biscayne Coffee’s Colombia Decaf is a medium roast from Huila, Colombia, with orange, chocolate and caramel notes. It is water-decaffeinated and comes as whole bean or ground in 12 oz and 5 lb bags.

Keep the coffee-station wording accurate. Label the drink “Decaf.” As the FDA explains, decaffeinated coffee still contains some caffeine.

Check the brewing routine before ordering

Walk through how someone would make a decaf cup using the equipment already in your kitchen. Check the brewer’s instructions for the amount you need, including any minimum batch size.

For whole bean coffee, include the grinding step. If you choose ground coffee, check that the grind suits your brewer. Our first-bag guide explains the available format and size choices.

Write the preparation steps beside the equipment, including the manufacturer’s cleaning or reset instructions when changing coffees. Make sure another person can follow the routine. If the setup can’t prepare the amount you need, resolve that before ordering.

Make the choice clear from bag to cup

Use readable labels to distinguish regular coffee from decaf. A familiar shelf position or a different lid color can be easy to miss, especially for someone visiting the kitchen for the first time.

Check the bag before brewing, then identify the coffee where it is served. If you use carafes, make sure each label matches the coffee currently inside. Remove or update labels when the contents change.

Keep the original product information available. For opening dates and container care, follow our opened-coffee storage routine. Include decaf in the same clear system.

Give decaf its own ordering rhythm

Regular coffee and decaf may run out at different times. Record what you use instead of automatically buying both in the same size or quantity.

If demand is uncertain, a 12 oz bag lets you start smaller. Consider the 5 lb option when observed use supports it, and check current prices when choosing your size.

Biscayne Coffee is roasted on demand. Review the current shipping information before choosing a start date or reorder point. Plan a meeting’s requirements separately from everyday use, with enough time for the order to arrive.

Your decaf setup card

Copy these five prompts and keep the answers where the person responsible for coffee can find them:

  • Preference: When do people want a decaf option?
  • Preparation: Which coffee, format and brewer instructions will we use?
  • Identification: How will we label the bag and the brewed coffee?
  • Ownership: Who checks supply, and who is the backup?
  • Review: When will we compare planned and actual use?

After one normal working week, check what was easy and what caused confusion. Adjust the amount you order or the instructions from what you learn. A useful routine should be easy for the next person to pick up.
